E-mail management with Outlook

In this video, we’re looking at CadTracker’s e-mail management capabilities with Microsoft Outlook.

Click on the E-mail boxes button in the tool strip to see all of the e-mail boxes in the database.

E-mail boxes can be general, or owned by a company or project.

We’ll create a new e-mail box for our company. You can create multiple e-mail boxes for each company and project. We’ll use the default name and folder, and click OK.

Now we’ll create a new project with the Quick Project Wizard, and add a new e-mail box for the project.

You can add a new e-mail box to a project or company at any time via the E-mail boxes tab on the project or company start page, or via the main E-mail boxes list.

If you have any existing Outlook message files you can import them to CadTracker by dragging and dropping the files, or the containing folder. All Outlook MSG files in the folder and any subfolders will be imported. For this video, we’ll copy the existing messages to our new e-mail box folder.

These e-mails can now be viewed by other operators in our organisation.

From Outlook, you can also drag and drop to import e-mails directly to an e-mail box.

The most common way to file e-mails is via the CadTracker ribbon tab in Outlook.

CadTracker shows us where earlier e-mails from the e-mail’s sender have been filed. You can select Delete Outlook mail item after filing to help tidy up your inbox.

You can select multiple e-mails in Outlook and file them all at once. When you send an e-mail, you can also file the e-mail to CadTracker at the same time.

You can preview your filed e-mails in CadTracker without Outlook. If Outlook is installed on the PC, double-click on an e-mail record to open the MSG file.

You can search an e-mail box using the search box or column auto-filters, and you can search all e-mails in every e-mail box by clicking Tools > E-mail > Search all e-mails.
